As the Executive Assistant to the CEO, you’ll be a key player in the CEO’s office, working directly alongside the CEO to influence company direction and play an integral role in its growth.

Key Responsibilities:

  • Calendar and Email Management: Manage the CEO’s calendar, prioritize meetings, and handle all correspondence with key internal and external stakeholders.
  • Project Management: Take the lead in overseeing cross-departmental projects, ensuring that initiatives are completed on time and within scope, while providing regular updates to the CEO.
  • Departmental Coordination: Serve as the go-between for the CEO and various departments, facilitating smooth communication and ensuring alignment with company objectives.
  • Organizational Efficiency: Help streamline processes and workflows, making sure that operations across the company are optimized. Be the information funnel, ensuring the CEO is informed and focused on high-priority tasks.
  • Meeting and Travel Coordination: Organize internal and external meetings, prepare agendas, and ensure all materials are ready. Additionally, plan and coordinate the CEO’s travel arrangements as needed.
  • Document Preparation: Prepare reports, presentations, and other documents for the CEO, ensuring they are accurate, professional, and aligned with the company’s strategic goals.

Qualifications:

  • Proven experience in executive support and project management.
  • Proficiency with Slack, Intercom, HubSpot, Monday.com, and financial tracking programs.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Experience in a SaaS or tech environment is a plus.
  • Ability to handle confidential and sensitive information with discretion.
  • Problem-solving skills and the ability to anticipate the CEO’s needs.

Preferred Qualifications:

  • Experience with financial administration (an advantage but not required).
  • Strong experience with cross-departmental coordination.
  • Familiarity with the hospitality or SaaS industry is a plus.
